Terms of Service

These Terms of Service ("Terms") govern your use of the SafeTrace platform, including our mobile application and web-based dashboard (collectively, the "Service"), operated by SafeTrace Ltd ("we", "us", or "SafeTrace").

By accessing or using the Service, you confirm that you are at least 18 years old, have the authority to enter into these Terms on behalf of yourself or your organisation, and agree to be bound by them.

SafeTrace provides a corporate traveller safety platform that enables organisations to monitor the safety of travelling employees. The Service includes:

• A mobile application for employee check-ins and SOS alerts
• A web-based admin dashboard for security teams
• Real-time location sharing during check-ins and SOS events
• Two-way messaging between employees and administrators
• Crisis broadcast communications

SafeTrace is a tool to support your organisation's duty of care obligations. It does not replace professional security services, emergency services, or medical assistance. In any life-threatening situation, always contact the local emergency services first.

To use SafeTrace, your organisation must register for an account. You agree to:

• Provide accurate and complete information when registering
• Keep your account credentials secure and confidential
• Notify us immediately of any unauthorised access to your account
• Ensure that employees who join your account understand and accept these Terms
• Be responsible for all activity that occurs under your account

Company administrators are responsible for managing employee access and ensuring the platform is used appropriately within their organisation.

You agree to use SafeTrace only for lawful purposes and in accordance with these Terms. You must not:

• Use the Service to track individuals without their knowledge or consent
• Trigger false SOS alerts or misuse emergency features
• Attempt to gain unauthorised access to other accounts or systems
• Use the Service for any unlawful surveillance or harassment
• Reverse engineer, copy or resell any part of the platform
• Upload malicious code or attempt to disrupt the Service
• Use the Service in any way that violates applicable laws or regulations

We reserve the right to suspend or terminate accounts that violate these terms without notice.

The SOS alert feature is designed to notify your organisation's designated security team. You acknowledge that:

• SafeTrace does not guarantee response times to SOS alerts
• The platform requires an internet connection to function — it will not work without data connectivity
• GPS accuracy may vary depending on device, location and conditions
• SafeTrace is not liable for any harm arising from reliance on the SOS feature as a substitute for professional emergency services

Deliberately triggering false SOS alerts is a serious breach of these Terms and may result in immediate account termination.

SafeTrace is offered on a subscription basis. Plans are billed monthly and pricing is as displayed on our website at the time of purchase.

• All prices are exclusive of VAT unless stated otherwise
• Subscriptions renew automatically unless cancelled before the renewal date
• We reserve the right to change pricing with 30 days notice
• 14-day free trials are available for new accounts — no payment is required during the trial period

You may cancel your subscription at any time. On cancellation:

• You will retain access to the Service until the end of your current billing period
• No refunds are issued for partial months
• Your data will be retained for 30 days after cancellation, after which it will be deleted
• You can request early deletion of your data by contacting us

If you cancel during a free trial period, no charge will be made.

Your use of SafeTrace is also governed by our Privacy Policy, which is incorporated into these Terms by reference. By using SafeTrace, you agree to the collection and use of data as described in our Privacy Policy.

As a company administrator, you are responsible for ensuring that your employees are informed about how their data is used by SafeTrace and that appropriate consent has been obtained where required by applicable law.

All content, features and functionality of SafeTrace — including but not limited to the software, design, text, graphics and logos — are owned by SafeTrace Ltd and are protected by copyright and other intellectual property laws.

You are granted a limited, non-exclusive, non-transferable licence to use the Service for your organisation's internal purposes in accordance with these Terms. You may not copy, modify, distribute or create derivative works based on our platform.

To the maximum extent permitted by law, SafeTrace Ltd shall not be liable for:

• Any indirect, incidental, special or consequential damages
• Loss of data, revenue, profits or business opportunities
• Any harm arising from reliance on the SOS feature as a substitute for emergency services
• Service interruptions, errors or inaccuracies in location data
• Any failure of the Service due to circumstances beyond our reasonable control

Our total liability to you for any claim arising from use of the Service shall not exceed the total amount paid by you to SafeTrace in the three months preceding the claim.

Nothing in these Terms limits our liability for death, personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

We may suspend or terminate your access to SafeTrace immediately and without notice if:

• You breach these Terms
• You fail to pay any amounts due
• We are required to do so by law
• We reasonably believe your use of the Service is causing harm to others

You may terminate your account at any time by cancelling your subscription and contacting us to request account deletion.

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms or your use of SafeTrace shall be subject to the exclusive jurisdiction of the courts of England and Wales.

If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
